The Most Common Audio Issues for Transcripts and How to Avoid Poor Quality Recording

High quality audio is the foundation of an accurate transcript. Even the most skilled transcriber can only work with what they hear, and poor quality recording can lead to delays, errors, and increased costs. At The Typing Works, we work with a wide range of clients across academic, clinical, corporate, and public sector settings, and we see the same audio problems appear time and again. Fortunately, most of them are easy to prevent with a little planning.

Background Noise

Background noise is one of the most frequent causes of reduced audio clarity. Traffic, air conditioning units, open windows, office chatter, and even the rustling of papers can interfere with speech. When multiple noises overlap, it becomes difficult to distinguish speakers and maintain accuracy.

To avoid this, choose a quiet room wherever possible. Close windows, switch off fans, and ask participants to keep phones and laptops still during the session. If you are recording interviews or therapy sessions, a small enclosed space is usually best.

Poor Microphone Placement

A high quality microphone can still produce poor audio if it is positioned incorrectly. Placing it too far away, too close, or off to the side can cause distortion, muffling, or uneven volume levels. This is especially noticeable in group discussions where some participants sit further from the device.

Position the microphone centrally and ensure it is stable. If you are recording a one to one session, place the microphone between the speakers at an equal distance. For group settings, consider using multiple microphones or a device designed for round table discussions.

Low Recording Volume

If the recording volume is set too low, quiet speakers become almost impossible to hear. Increasing the volume afterwards often amplifies background noise rather than improving clarity.

Check your recording levels before you begin. Most devices allow you to test the audio and adjust the input volume. Aim for a clear, consistent level that does not peak or distort.

Interruptions and Overlapping Speech

When speakers talk over one another, words become lost. This is common in focus groups, meetings, and fast paced discussions. While transcribers can often capture the general flow, overlapping speech reduces accuracy and increases the time required to complete the transcript.

Encourage participants to take turns wherever possible. In structured settings, appointing a facilitator can help maintain order and ensure everyone is heard clearly.

Poor Quality Recording Devices

Not all recording devices are created equal. Built in laptop microphones often pick up significant background noise and produce thin, distant audio. Mobile phones can work well, but only when placed correctly and used in quiet environments.

Investing in a dedicated recording device can make a substantial difference. Even an entry level digital recorder provides clearer sound, better noise reduction, and more reliable results.

Unstable Internet Connections for Remote Sessions

For online interviews or therapy sessions, audio quality depends heavily on the stability of the internet connection. Dropouts, lag, and compression can cause words to disappear entirely.

Ask participants to use a wired connection if possible. If not, ensure they are close to their router and avoid streaming or downloading during the session. Using headphones with a built in microphone can also improve clarity.
