At The Typing Works, we understand the importance of confidentiality, data protection and information security. We regularly work with sensitive recordings and documents for universities, NHS organisations, researchers, businesses and professional service providers, where secure handling of information is essential.
We are committed to ensuring that all client data is managed responsibly, securely and confidentially throughout the transcription process.
Cyber Essentials Certified
The Typing Works is Cyber Essentials certified, our file upload services are ISO 27001 audited and accredited and we are NHS Data Security & Protection Toolkit assessed. We hold cyber insurance and professional indemnity insurance.
What Does Cyber Essentials Mean?

Cyber Essentials is a UK Government-backed certification scheme designed to help organisations protect themselves against common cyber threats.
In simple terms, Cyber Essentials demonstrates that we have implemented recognised security measures to help protect client information, systems and communications from common cyber attacks. The certification focuses on areas such as:
- Secure system configuration
- Access controls and password security
- Malware protection
- Security updates and patch management
- Network and device security
Our certification demonstrates our commitment to maintaining strong cyber security standards and protecting the confidentiality of client data.
How We Handle Your Data
Files supplied to The Typing Works are used solely for the purpose of completing the services requested by our clients. We provide 100% human transcription services using experienced UK-based transcription professionals. We understand that many of the recordings and documents we process contain confidential, commercially sensitive or personal information, and we treat all client material accordingly. All recordings, transcripts and associated documents are handled securely throughout the transcription process.
Secure File Transfer
Our secure file upload servers are located in the UK and managed by Data Send UK, a UKAS ISO 27001 accredited and audited company. We use secure upload and download systems designed to help ensure that recordings, transcripts and documents are transferred safely between our clients and our transcription team.
Data Storage & Server Location
All file upload servers used by The Typing Works are located within the United Kingdom and managed by Data Send UK. Keeping our file transfer infrastructure UK-based helps support compliance with UK data protection requirements and provides additional reassurance regarding the location and handling of client data.
Data Retention & Automatic Deletion
Our retention policy can be read here. Audio files supplied to The Typing Works are retained for 30 days. Completed transcripts are retained for 12 months. After these retention periods have expired, files are automatically and securely deleted from our systems. If clients require alternative retention arrangements, these can be discussed prior to project commencement.
Who Has Access to Your Recordings & Transcripts?
Access to recordings and transcripts is strictly limited to:
- The assigned transcriber
- The proof reader
- The transcription manager
No other individuals are permitted access to client files unless specifically authorised.
All transcribers working with The Typing Works are required to sign confidentiality agreements (NDAs), and transcribers are typically DBS checked.
Confidentiality
Confidentiality is fundamental to the way we work.
We recognise that many of our clients work with highly sensitive information, including healthcare interviews, legal discussions, academic research, HR investigations, business meetings and professional documentation.
We are committed to maintaining appropriate safeguards to help protect the confidentiality and integrity of all client material throughout every stage of the transcription process.
